My Role on the Day
A day-of coordinator manages your wedding day so that you can relax and enjoy the celebration you’ve worked so hard to plan!
Whether you have chosen to plan your own wedding or hire a professional, it can be a stressful experience with the desire for everything to be perfect. It’s likely that when the day arrives, you will feel overwhelmed.
No matter how perfectly you plan your wedding, unexpected challenges can arise from rain, to the florist getting a flat tire, or a groomsman forgetting the rings! On such a special day, you shouldn’t have to manage all these logistics when you should be enjoying every moment before getting married. That’s where I come in! The day-of wedding coordinator’s role is to alleviate any stress by overseeing your vendors, managing the timeline, and handling any requests or crisis, even if they come up at the last minute. I will take care of everything with a smile, allowing you to focus on what truly matters—marrying the love of your life and celebrating with friends and family.
Who can we get to do that?
Even the most organised couples eventually face questions like, “who can we get to do that?” or “we can’t ask mum and dad, we want them to enjoy the day too.” It’s also important to consider whether it’s fair to ask your friends to work on your wedding day and these are some of the questions I was faced with in the lead up to my wedding day.
As a recent bride myself, I had everything planned and thought of every detail, but being a perfectionist, I realised I needed help on my special day to ensure I remained present and enjoyed every moment. I wanted to have someone in charge who could manage any issues that arose. It was this experience that inspired me to offer my services to other couples so that they have someone to manage the tasks they shouldn’t have to worry about on their big day.

My Role on the Day
Handling Logistics
As the day-of wedding coordinator, my main responsibility is to manage all logistics for the wedding. For instance, if you have 200 guests, I will ensure there are 200 chairs at both the ceremony and reception. I will also arrange the place cards according to your seating chart. Additionally, I will guide guests to follow any ceremony instructions you have and ensure floral arrangements are moved from the ceremony to the reception.
Creating and Sticking to Your Timeline
To guarantee everything runs smoothly, I will create a detailed timeline for the day and ensure that everyone—from your family to your vendors—follows it. If your cake is scheduled for delivery at 11 AM but hasn’t arrived yet, I will contact the vendor for updates. If hair or makeup is taking longer than anticipated, I will communicate with the artists to expedite the process, ensuring everything stays on schedule. I will make sure the ceremony starts on time, coordinate photography sessions in the right locations, and work with the photographer to capture those amazing candid moments. I can also welcome your guests and assist them in getting seated for both the ceremony and reception.
Communicating with Vendors
On the wedding day, I will serve as the primary point of contact for all vendors. I will oversee their work to ensure they align with your vision and the agreed-upon terms. Any questions your vendors may have should be directed to me, allowing you to focus on enjoying your guests and celebrating your special day instead of dealing with last-minute queries or issues. After all, you don’t want to be explaining directions to your florist while the makeup artist is perfecting your eyeliner. With my help, you can be confident that everything will go according to plan.
Solving Problems
One of my most crucial and challenging roles is addressing any issues or last-minute surprises that may arise. My job is to collaborate with vendors and venue staff to troubleshoot problems and come up with solutions—without you ever having to worry about it! Whether it’s the bar running out of vodka, someone forgetting the rings, or even a power outage at the venue, I will do my utmost to resolve the situation so you can continue celebrating your special day.
